Background
The EDU Development team consists of Instructional designers, Interactive designers, multimedia producers and engineers. As the team continued to expand, we needed the support of a web portal for teams to access resources, media, log updates and documentation.

How Can We create a portal as an access point for all team members to quickly view resources, workflow processes, TEAM UPDATES and our core values?

Research
We interviewed our Sr Manager and leads regarding new hire checklists, workflow processes, roles, responsibilities and key resources that will help support the day-to-day tasks of our team. We know that because of the growing number of employees (including contractors), it became difficult to keep track each persons role, and if they were properly onboarded. New hires also had little time to adjust before jumping into a new project. Cross-functional teams also did not fully understand our workflow and team structure.
Key Findings
PMs, SMEs and Directors need better understanding of team member’s role
New hires must quickly familiarize with resources and access points.
Onboarding material were difficult to find in other places
Solution
Using the interview results, we developed findings that helped us create the IA sitemap.
We prioritize resources into several phases and began with sketches of what our site can look like.
SKETCH/WIREFRAME
We then developed the wireframes and low-fi prototype for user testing. After several design sprints, we simplified the content based on user feedback that it would be too confusing and they would rather scan the content. We also decided to eliminate several pages and focus on creating a lean portal navigation that is quick and easy for new hires.

The final design was approved and implemented in phase I with continued updates to expand our resource library, information and team onboarding.
